The Government of Greenland is seeking an experienced executive secretary for the Management Secretariat. The position requires high-level coordination, participation in business trips, and contribution to town hall meetings. You must be able to handle a busy workday, possess strong written and communication skills, and be adaptable. Knowledge of Greenlandic culture and society is an advantage.
Executive secretary with experience in high-level coordination sought for the Management Secretariat. Are you an experienced secretary willing to ensure a high level of daily service for the Management Secretariat in the busy daily life of the Permanent Secretary, the management group, and the Minister? Are you ready to accompany on official trips and contribute to public meetings, and step in during the absence of the minister's secretary?
We are looking for a secretary who, together with the department's employees and the department's management, can help ensure the daily servicing of the management group, the permanent secretary, and the minister. If you have the ability to transform a busy everyday life with diverse tasks and are willing to help solve tasks in the Management Secretariat, then you are exactly the person we want on our team as our new colleague.
The start date is April 1, 2026, or as soon as agreed upon.
About the position
The Management Secretariat is one of 4 departments in the ministry, which handles departmental tasks within the areas of housing, client role, building authority, infrastructure, and outer districts. The ministry has approximately 45 employees. The Management Secretariat consists of 8 employees and functions as a staff function.
The department's tasks include, among other things, coordinating and processing inquiries to the ministry and to the Naalakkersuisut, handling cases to and from the Naalakkersuisut and the Inatsisartut, mail, hearings, translations, quality assurance, archiving, as well as project management and development tasks. Additionally, it involves planning and conducting workshops, presentations, and peer training on internal instructions, guidelines, work procedures, and manuals, for example regarding case processing, procurement, service, other internal activities, etc. The department is also responsible for the operation, coordination, and further development of the ministry's central IT systems and digital workflows, including user support, system administration, and implementation of new digital solutions.
The executive secretary will be organizationally placed in the Management Secretariat and report to the Department Head.
Tasks

The tasks of the executive secretary are determined in collaboration with the department head and the permanent secretary, and may include: Assisting in ensuring that the management group, the permanent secretary, and the minister receive the best possible service and support.

Assisting in ensuring the agreement and calendar management for the management group, the Permanent Secretary, and the Minister.

Planning and preparation of meetings and business trips for the management group, the Permanent Secretary, and the Minister, as well as other practical tasks.

Secretarial tasks for the management group, the department head, and the minister, e.g., document management, preparation of minutes and notes, etc.

Preparation of meeting and travel materials for the Permanent Secretary and the Minister.

Ad hoc in the Management Secretariat, for example, accompanying on official trips and contributing to citizen meetings, stepping in during the absence of the minister's secretary, as well as minor translations and quality assurance.
The executive secretary must be prepared to engage in solving the Department's other tasks when not occupied with tasks for the management group, the Permanent Secretary, and the Minister. Some travel activity is to be expected in connection with the position.

Your educational background is not crucial, although we assume that you have a higher education degree. Additionally, we expect that you have solid experience in coordination, can maintain an overview, and keep many balls in the air at the same time.

That you have experience in political work and servicing the top administrative management, preferably as a ministerial secretary.

That you have good written and communication skills.

That you are fluent in Greenlandic and Danish in writing and speech, and preferably English at a general level.

It will be an advantage if you have experience with political decision-making processes, including the sessions of the Inatsisartut, matters for the Naalakkersuisut, and experience with case processing and public administration.
It will also be an advantage if you have a solid knowledge of various IT tools, including cBrain F2 and Microsoft 365.
It should be noted that this is a position with many diverse tasks and a broad area of responsibility. Evening and weekend work is expected, as well as work under time pressure, especially during the Inatsisartut sessions.

Salary and employment conditions
Salary and employment conditions, including the right to travel for joining and leaving and relocation of personal belongings, in accordance with the agreement/collective agreement in force at the time of commencement between the Government of Greenland and the relevant negotiating organization.
Housing
No staff housing is allocated for the position. If an applicant already has staff housing through employment in the Self-Government, the right to the allocated staff housing is retained. The staff housing is linked to the employment relationship and must be vacated upon termination of the employment relationship.
