The Department for Children, Youth, Families, and Justice is seeking a management secretary to support the leadership. The position involves secretarial services, meeting planning, and political support. We are looking for a structured and service-oriented person with good communication skills and experience from politically governed organizations.

The Department of Children, Youth, Justice and Gender Equality is looking for a new colleague who will work closely with the Permanent Secretary (PS) and the department's management. We need a management secretary who is willing to ensure a high level of daily service for the PS and the management group.

The department is organized into three divisions: The Management Secretariat, The Department for Cross-Sectional Projects and Monitoring, and Justice.

Your job
As a management secretary, you will report directly to the head of the management secretariat and be involved in the daily operations across both divisions of the department. You will help ensure that case processes and workdays run smoothly and efficiently. The department is an attractive and professional workplace with a high level of ambition. The daily life in the department is varied and professionally challenging, where things sometimes move quickly and tasks must be solved under time pressure. It is rare for two days to be alike.
You will be responsible for political servicing, as well as the responsibility for servicing the department's top management and the secretariat function.
Your two fixed, overarching tasks consist of the secretariat function for the Permanent Secretary and the other management, as well as cross-sectional professional tasks within the area of responsibility as needed.
Management Secretary
- Secretariat servicing of the Permanent Secretary, including calendar and appointment management, planning and preparation of meetings and business trips, responding to inquiries, and practical tasks.
- Responsible for processing the PS's ongoing tasks and preparing notes as needed.
- Secretary at management meetings, coordination meetings, meetings in Local Cooperation and Safety Committees, and other meetings led by the PS.
- Coordination and follow-up on cases for the Minister, the Government, and the Parliament.
- Ad hoc.
It is important that you are curious and eager to familiarize yourself with the department's various areas of expertise.
Qualifications
You are comfortable with political attention regarding the tasks you solve, and it is an advantage if you have experience working in a politically governed organization. You will have a clear service function in the department, so it is important that you are approachable, diplomatic, and helpful. Since the preparation of written work is also a central task, it is required that you have good communication skills and can express yourself so that complex material becomes easily understandable – and at eye level with the recipient.
We expect you to:
- Have a master's degree in administration or another relevant social science education.
- Thrive in a busy everyday life with changing agendas and tasks.
- Have a strong sense of order, work structured, and be good at ensuring compliance with deadlines.
- Have an overview, sense of responsibility, and a positive approach to tasks.
- Be proactive, able to work independently, and take initiative.
- Have an understanding of political decision-making processes, preferably from a similar previous position.
- Have good language skills in Greenlandic, Danish, and English.
- Enjoy writing notes, presentations, and similar – often within short deadlines.
- Have good formulation skills and written flair.
- Have knowledge of Greenlandic society and culture.
- Understand how to work in a multicultural workplace.
- Be able to collaborate across many different people and professional fields.
Salary and employment conditions
Salary - and employment conditions, including the right to relocation and departure travel and moving expenses, according to the agreement/collective agreement in force at the time of commencement between the Government of Greenland and the relevant negotiating organization.

Housing
Unfurnished staff housing can be allocated for the position according to the applicable rules at any time. Housing cannot be allocated to individuals who already have staff housing or another residence owned by the municipality or the Government of Greenland. Rent and deposit are paid according to the applicable rules for the allocated housing. The staff housing is linked to the employment relationship and must be vacated upon termination of the employment relationship.
Rent and housing standards may vary depending on the age of the housing, ownership conditions, etc. There may be waiting time for the allocation of permanent staff housing, which is why temporary accommodation may occur, including in smaller co-housing or hotel apartments, for which taxation applies. It is not possible to keep larger pets such as dogs or cats in staff or temporary housing.
