The Department of Finance is looking for a skilled secretary for the front office in the Management Secretariat. The position involves tasks such as mail distribution, preparation of newsletters, and servicing the head of department. We are seeking an office-trained person with experience and good planning skills.
The Department of Finance is looking for a skilled secretary for the front office in the Management Secretariat
Order in things, control over invoices, service when it matters, overview when it is busy, and everything with a smile. If this is you, then you might be our new colleague.
The Management Secretariat consists of several functions related to the internal operations of the department as well as in relation to servicing the Minister and the Permanent Secretary. You will primarily be engaged in what we call the "Front Office," but you will also solve tasks directly for the Permanent Secretary and occasionally for our Minister.
You report to the department head in the Front Office.
About you
You are office trained and preferably have an academic education, and it is fine if you already have experience with secretarial work, preferably from self-government or from a municipality.
If you know F2, IRIS, Management Info, and Web-Tas, that is perfect, and it is also fine if you are used to using Word and Excel.
You have a good overview, and you understand how to plan so that things are ready at the right time, avoiding surprises. You emphasize having control over things. You are not afraid to take responsibility and start on your own if there is something that needs to be done. You just ask if you are in doubt.
You thrive in an environment with an informal tone, short command lines, and engaged colleagues. It is completely natural for you to provide good service. You are helpful towards your colleagues.
It is a great advantage if you are bilingual.
About the position
You will especially be able to engage in:
- Distribution of mail sent to the department's common email as well as preparation of the department's daily newsletter "Ullumi pisussat - Today’s events"
- Assisting in ensuring the department's submission of material for political processing
- Distribution of the department's publications
- Assisting in servicing the Minister and the Permanent Secretary
- Ensuring the department's general archiving and record-keeping, and order in the archive room
- Reporting of benefits for the Minister
- Ordering office supplies
- Maintaining the department's accounting instructions and inventory list
- Ad hoc tasks
In addition, you will assist as needed with handling invoices in IRIS, approvals in Web-Tas, booking travel, and processing travel accounts as well as minor accounting tasks and reconciliations.
Special tasks for the Permanent Secretary
There are also special tasks related to servicing the Permanent Secretary. This means that you have an eye for the practical matters and planning around the Permanent Secretary's calendar, meetings, travels, and representative tasks, and that you independently take the initiative for smaller practical tasks that support a well-functioning and professional workday.
- Participate in contract management and other practical tasks, etc.
- Keep track of the Permanent Secretary's "shadow cases" in relation to larger projects
- Keep track of materials to/from meetings and ensure that these are stored and archived
- Provide practical assistance in planning and preparing meetings, conferences, and official trips.
- Preparation of letters and internal communications, etc., that require standard responses
- Keep track of timelines and deadlines for projects and initiatives that the Permanent Secretary is involved in

Salary and employment conditions
Salary and employment conditions, including the right to relocation and moving expenses, in accordance with the agreement/collective agreement applicable at the time of commencement between the Government of Greenland and the relevant negotiating organization.
Employees in the state have - depending on the collective agreement - the right to unpaid leave in connection with employment under the Government of Greenland. The state has also urged municipalities and regions to be accommodating towards applications for unpaid leave when employed under the Government of Greenland. The provisions on unpaid leave also apply to spouses or partners of persons employed under the Government of Greenland.
Housing
No staff housing is provided for the position. If an applicant already has staff housing through employment in the Self-Government, the right to assigned staff housing is retained. The staff housing is linked to the employment relationship and must be vacated upon termination of the employment relationship.
