Executive Secretary

The Department for Children, Youth, Justice and Equality is seeking an executive secretary to work closely with the department head and management. The position requires coordination, secretarial support, and political assistance. You will ensure smooth processes and efficient operations in a busy day-to-day environment with diverse tasks.

The Department for Children, Youth, Justice, and Equality is looking for a new colleague who will work closely with the Permanent Secretary (PS) and the department's management. We need a director's secretary who is willing to ensure a high level of daily service to the PS and the management team.

Who are we?

The department is organized into three divisions: the Management Secretariat, the Department for Cross-Sectional Projects and Monitoring, and the Justice Area.

Your job

As an executive secretary, you will report directly to the head of the management secretariat and be involved in the daily operations across both departments in the ministry. You will help ensure that case processes and workdays run smoothly and efficiently. The ministry is an attractive and professional workplace with a high level of ambition. Daily life in the ministry is varied and professionally challenging, where things can sometimes move quickly and tasks must be solved under time pressure. It is rare for two days to be alike.

You will be responsible for providing political support, as well as the responsibility for servicing the department's top management and the secretariat function.

Your two main, overarching tasks consist of the secretariat function for the department head and the other management, as well as cross-disciplinary tasks within the area of responsibility as needed.

Executive Secretary

  • Secretariat support for the permanent secretary, including calendar and appointment management, planning and preparation of meetings and business trips, responding to inquiries, and practical tasks.
  • Responsible for the processing of DC's ongoing tasks and preparation of notes as needed.
  • Reporter at management meetings, coordination meetings, meetings in Local Cooperation and Safety Committees, and other meetings led by the DC.
  • Coordination and follow-up on cases for the Minister, the Government, and the Parliament.
  • Ad hoc.

Qualifications

You are comfortable with political attention regarding the tasks you handle, and it is an advantage if you have experience working in a politically governed organization. You will have a clear service function in the department, so it is important that you are approachable, diplomatic, and helpful. Since producing written work is also a central task, it is required that you have good communication skills and can express yourself in a way that makes complex material easily understandable – and at the level of the recipient.

We expect that you:

  • Has a master's degree in administration or another relevant social science education.
  • Can thrive in a busy everyday life with changing agendas and tasks.
  • Has a strong sense of order, works in a structured manner, and is good at ensuring compliance with deadlines.
  • Has an overview, sense of responsibility, and a positive approach to tasks.
  • Is proactive, can work independently, and can take initiative on their own.
  • Has an understanding of political decision-making processes, preferably from a similar previous position.
  • Has good language skills in Greenlandic, Danish, and English.
  • Like to write notes, presentations, and similar – often within tight deadlines.
  • Has good formulation skills and written flair
  • Has knowledge of Greenlandic society and culture
  • Has an understanding of working in a multicultural workplace.
  • Can collaborate across various people and professions.

Start date: October 1 or by agreement.
