Are you sharp with structure and thrive on making the administrative engine room function?

We are looking for a part-time secretary or student assistant who is motivated by creating overview, keeping track of details, and ensuring that administrative processes run efficiently in a busy everyday life. In our team, your role will be crucial for the office to function – and for your colleagues to focus on their professional tasks.

About the position

The Expedition Office in the Department of Nature, Environment, Energy and Research manages applications for expeditions and travel in remote areas of Greenland. This includes, among other things, crossing the Ice Sheet and other tourist activities, cruises in the National Park in North and East Greenland, and research activities.

We are experiencing increasing activity and are therefore looking for a structured and service-minded employee who can support the administrative part of the work and help ensure overview and progress.

You will be part of the daily operations, where your primary task is to manage inquiries, register applications, and ensure that cases are correctly organized and ready for further processing.

The position is approximately 10 hours per week and involves collaboration with colleagues in the Nature Department and other relevant units.

Your tasks

You will work with administrative and coordinating tasks, including:

  • keep track of the Expedition Office's shared mailbox
  • register and document applications and inquiries
  • update internal overviews and case lists
  • prepare material for further case processing
  • follow up on missing information and documentation from applicants
  • ensure proper handling and forwarding of inquiries
  • support structure, archiving, and administrative cleanup
  • contribute to an overview of deadlines and ongoing cases
  • handle submitted expedition reports

We are looking for you who

  • works systematically and has an eye for detail
  • thrives on administrative tasks and takes pride in order and structure
  • can maintain an overview, even when there are many inquiries
  • works independently and sees tasks through to completion
  • is service-minded and communicates clearly and kindly
  • is familiar with emails, document management, and administrative IT systems
  • has good both oral and written language skills

Experience with record-keeping or administrative work is an advantage, but not a requirement.

Who can apply?

The position may be relevant for several types of applicants:

  • students seeking relevant administrative experience
  • people who wish to supplement other income
  • employees at the end of their working life who wish to reduce their hours
  • you, who are motivated by structure, order, and administrative tasks

We offer:

  • a part-time position of about 10 hours a week
  • flexible working hours by agreement (however, physical presence at least 2 days a week)
  • thorough training in tasks, workflows, and systems
  • an insight into a special authority area
  • a committed team with high professionalism and an informal tone
  • a workplace focused on well-being, collaboration, and responsibility

The Nature Department is part of the Ministry of Environment, Nature, Energy, and Research. In the department, we have about 40 employees distributed across several fields and work on central tasks for Greenland.

With us, the atmosphere is characterized by high professionalism, collaboration, and an informal tone, where we help each other and share knowledge.
